Checklist For Moving Into A Virtual Office Space
If you are thinking about moving into a virtual office space, or any office space for that matter, it is important not to rush the move. We have put together a handy checklist to make sure everything is all in order to help make the move nice and painless. We will make the assumption that you have already spent the time checking out office spaces and are ready to move straight in.
1. Update your contact information
Believe it or not, this is the very first thing you should do. You’ll only forget to do it later if not anyway! We don’t just mean your social media accounts and website, you need to remember to let your suppliers, clients, insurance provider and bank know that you have changed address.
2. Consider using a virtual assistant
You will soon realise that there are lots of administrative tasks associated with moving into a new virtual office space, which can get overwhelming. It might be a good idea to hire a virtual assistant for a couple of months just to get these basic tasks done and dusted.
3. Set up mail forwarding
Many virtual offices have packages that include mail handling and forwarding, which is really useful when you move office. There is bound to be one instance where you forget to change your address on an account, so this is always a great backup plan.
4. Organise your equipment
Every business has different needs when it comes to technology, so before you move into a virtual office space make sure you ask all the right questions about internet connectivity. Have a look at your current infrastructure including cables, servers and other essential equipment your business relies on. Then think about how you are going to relocate these.
5. Backup important data
You should be regularly backing up your data anyway, but this is even more important to carry out before you move to a virtual office space. Make sure your data is all secure just in case your equipment gets into the wrong hands.
6. Stay organised
Everyone has their own way of staying organised, and their own methods. You may want to begin by taking an inventory of every item you have, and put labels on things to keep a track of them. There is nothing worse than trying to unpack but having no idea where you have put things!
7. Make it feel homely
If you are renting any office space (and you have permission from your landlord), then go ahead and decorate it. Whether you paint the walls in the same colour as your logo, or add some cushions and throws to the furniture provided. There are lots of different ways you can make your office feel more homely.
